Military Deployment Procedures


Community College of Aurora is committed to ensuring that students are able to attend CCA while serving in the military and we will work with you to see that you can succeed!

You will need work directly with your instructors/departments to make reasonable accommodations to complete work; you may need to submit official orders to instructors. Depending on the length of the service obligation and/or course content and requirements, special consideration may need to be approved by the Vice President of Instruction.

You have a variety of options if you receive orders after the drop deadline for classes. We recommend that you speak to your instructors as soon as you receive your orders to help determine what you should do.

You will need work directly with your instructors/departments to make reasonable accommodations to complete work by the end of the semester; you may need to submit official orders to instructors. Depending on the length of the service obligation and/or course content and requirements, special consideration may need to be approved by the Vice President of Instruction.

You can work with your instructors to get an incomplete in your classes if the semester has progressed far enough and you have completed enough of the coursework to meet the minimum requirements for an incomplete. This can allow you additional time, beyond the end of the semester, to make up the work for your classes. Special consideration may need to be approved by the Vice President of Instruction.

If you do not feel that you will be able to complete the requirements for the course(s), you may be eligible to withdraw from your class(es) and submit an appeal to receive a refund of your tuition. You will still be responsible for all fees associated with your class(es) and the course(s) will show as a withdraw (with W grades) on your transcript.

  • Complete a Tuition Credit and/or Late Withdraw Appeal for Extraordinary Circumstances (on the Forms tab of MyCCA under Registration and Records Forms in the Appeals section).
  • Attach your orders. Be sure the information includes the date of the notification of the orders as well as the dates of your required service.
  • Submit the appeal to Admissions, Registration, & Records.
If you receive orders after the drop deadline for overseas deployment or a base transfer during the term

While CCA will work with you to try to find a solution that allows you to complete your classes successfully, we realize that isn't always possible if you are deployed or relocated while enrolled in classes. 

  • It may be possible to complete your classes even if you are not physically present in Colorado. You will need work directly with your instructors/departments to make reasonable accommodations to complete work by the end of the semester; you may need to submit official orders to instructors. Depending on the circumstances and/or course content and requirements, special consideration may need to be approved by the Vice President of Instruction.

You can work with your instructors to get an incomplete in your classes if the semester has progressed far enough and you have completed enough of the coursework to meet the minimum requirements for an incomplete. This can allow you additional time, beyond the end of the semester, to make up the work for your classes. Special consideration may need to be approved by the Vice President of Instruction.

If you do not feel that you will be able to complete the requirements for the course(s), you may be eligible to receive a late drop from your class(es) (so the course(s) do not show up on your transcript) and receive a full refund.

CCA cannot issue tuition credits/refunds for deployment periods, TDY service, or an annual two-week training period for which students receive notice prior to the drop deadline for the course.

*Any drop or withdrawal from courses can impact your eligibility for VA benefits or Tuition Assistance. It is encouraged that you contact Military & Veteran Services if you need to drop or withdraw from your classes.
